How to Prepare an Industrial Automation RFQ That Gets a Faster Reply

A practical checklist for automation buyers sending exact model, replacement, or mixed-brand RFQs.

Why exact model information matters

Industrial automation products are often ordered under time pressure, but a quotation can only move quickly when the model context is clear. A short message that says “Siemens PLC needed” is rarely enough. A useful RFQ should include the brand, complete part number, series, quantity, destination country, and the machine or cabinet context when available.

For PLCs, I/O modules, HMIs, drives, sensors, and power supplies, small differences in suffixes may change voltage, communication protocol, memory, firmware, mounting, or replacement compatibility. If you are still choosing the right category, start from the industrial automation product categories and then move into exact model search.

What to send before requesting a quote

  • Full model number or SKU from the label.
  • Brand and product category, such as PLC, HMI, servo drive, VFD, sensor, power supply, or I/O module.
  • Quantity and whether the item is for maintenance, replacement, or a new project.
  • Destination country and target delivery timing.
  • Photos of the label, front panel, terminal area, or packing if available.

When the model number is already known, use the Automation Parts Catalog to search by SKU, brand, series, or product type before opening an RFQ. If the request spans multiple manufacturers, the brand directory is a better starting point.

How this improves response quality

Clear model information helps the sales and technical team separate exact-model quotes from replacement checks. It also reduces back-and-forth messages, prevents wrong assumptions about compatibility, and helps align packing, courier, and documentation expectations earlier in the process.

If an old model is no longer available, the same information gives the sourcing team enough context to review whether an alternative path is practical or risky. For critical equipment, the safest approach is to send the model number and photos first, then confirm any substitute only after the application details are understood.
